What is workflow automation?

Workflow automation is software that moves work between people and systems using rules, queues and timers, so repetitive steps happen without manual handling. Typical examples are assigning cases, routing approvals, sending reminders before deadlines and checking payments before release. Exceptions are always passed to a person with the reason recorded.

What are examples of workflow automation?

Examples from real deliveries:

  • Sharing new cases fairly across officers by workload.
  • Approving straightforward applications and queuing the rest for review.
  • Reminding people before a deadline and escalating when it passes.
  • Holding a payment that matches an earlier one until someone checks it.

Is workflow automation the same as AI?

No. Workflow automation follows rules you can read. AI can be added for steps that need understanding, such as reading a message, but many workflows need no AI at all.

How do you start?

Map one process from start to finish, including the exceptions, then automate the steps that repeat most. Measure, adjust the rules, and move to the next process.

Common questions

How long does it take?

It depends on the number of steps and systems involved. The timeline is set out in the quotation after scoping.

Can rules change later?

Yes. With a versioned rules engine, administrators change values with a start date, without a code release.
